HOW WE WORK

Transparent from brief to handoff.

We agree what a qualified record means before research starts, check the data as we build it, and tell you plainly where uncertainty remains.

Defined criteria · Human review · Clear status labels · Agreed corrections

EMAIL STATUS LABELS

APPLIED TO EVERY RECORD

Every email gets a clear status

Uncertain results are separated, never presented as verified.

StatusWhat it means
ValidMailbox confirmed by verification checks at delivery
Catch-allDomain accepts all mail; address not fully confirmable
Risky / unknownInconclusive result, kept separate
InvalidRemoved, or listed separately on request

THE PROCESS

Four steps. No surprises.

Every project follows the same structure, from a small scoped sample to an ongoing monthly workflow.

01

Define what a qualified record means

We confirm your target industries, company size, geography, job titles, required fields and exclusions. Unclear points are resolved before research begins.

Output: agreed criteria

02

Research companies and buying roles

We qualify accounts against your criteria, then identify the people who own the decision and check they currently hold the role.

Output: qualified accounts and matched contacts

03

Enrich, verify and review

We add the agreed contact fields, verify email addresses and label each result. Uncertain records are separated, not hidden.

Output: verified, labeled data

04

Deliver clean, usable output

A final review covers duplicates, field formatting and criteria fit. We deliver in your format and address agreed corrections.

Output: CRM-ready file

BEFORE WE START

What we need from you.

The clearer the brief, the more useful the data. If you are unsure about any of these, we will help you define them.

Targeting

  • Industries or company types to include
  • Company size by employees or revenue
  • Countries, states, provinces or regions
  • Job titles, seniority or functions

Rules & exclusions

  • Companies, domains or contacts to exclude
  • Existing customers or previous lists to dedupe against
  • Must-have qualification criteria
  • Titles or company types to avoid

Output

  • Required fields and column order
  • Expected volume and batch size
  • Delivery format: CSV, Excel or Google Sheets
  • CRM or tool the data will be imported into

QUALITY CONTROL

Checks built into every project.

Data accuracy

  • Current employment checked against LinkedIn or company sources
  • Titles matched to your agreed rules
  • Company fit reviewed against your ICP criteria
  • Facility or location-level contacts kept distinct from head-office contacts when required

Data hygiene

  • Duplicates removed within the file and against earlier deliveries you share
  • Consistent formatting for names, titles, locations and phone numbers
  • Source links or research notes where specified
  • Required fields completed or flagged as unavailable

COMMITMENTS

What we promise, and what we don’t.

We would rather set clear expectations than oversell.

We commit to

  • Agreeing scope, fields and delivery dates in writing
  • Labeling every email status honestly
  • Aiming for 98% valid-email accuracy on verified records, as an internal quality target
  • Reviewing records that fall outside the agreed criteria

We don’t promise

  • Guaranteed deliverability or a fixed bounce rate for every campaign
  • Reply rates, meetings or revenue
  • Data that never changes: people change jobs and companies restructure
  • Replacements beyond what your project terms state

DATA HANDLING

Responsible with business data.

We research business contact information from professional and public sources, handle client files with care and use them only for your project. You remain responsible for how the data is used in outreach, including rules such as CAN-SPAM in the US, UK GDPR and PECR in the UK, and CASL in Canada. We can apply your suppression lists before delivery.

NEXT STEP

See the process on your own criteria.

A scoped sample is the quickest way to judge our research quality, format and communication before committing to a larger project.
